HubSpot contact imports · pre-import review

A blank Record ID can turn an update into a new record.

Find identifier gaps before importing a CSV copy. Then inspect shared contact values without deleting or merging anyone.

Check 20 rows locally

FREE · 20 ROWS · LOCAL MEMORY ONLY

Check which rows lack an import identifier.

Paste a permitted CSV copy, then explicitly select its Email and Record ID columns. Unselected fields are excluded. Your values stay in this browser; the downloadable note contains counts and row positions.

This is a coverage check, not an import approval. Custom unique IDs, secondary emails, email validity, account records and the destination mapping remain unchecked. Zero findings do not guarantee a safe import. The free assistant is separate from the paid ZIP.

Separate new records from intended updates.

Check the identifier selected at import

HubSpot uses Email to identify contact records, and Record ID can identify existing records. When a Record ID column is included, a blank ID can create a new record. An email in that row does not certify an update.

Check the original export and exclusions

Cross-reference IDs against the actual export yourself. This assistant does not check ID existence, secondary emails or custom unique-ID properties. Do not replace IDs with row numbers or automatically trim their values.

  1. Keep an unchanged source backup and confirm whether each row is intended to create or update a contact.
  2. Map the correct identifier at the destination. Consider separate imports for new and existing records.
  3. Review shared email, phone and ID candidates below. A shared mailbox or switchboard can represent different people.
  4. Check required fields, secondary-email behavior and errors in HubSpot. Review a permitted small import before using more records.

HubSpot ignores blank property cells rather than clearing an existing value. A filled Record ID still needs to be a valid record in the intended account. An error-free local review is not proof of import success.

Try 20 rows free before buying

Find the rows to review in your own CSV.

Open a CSV copy or paste a small table copied from Excel. Include the header and up to 20 contacts, select the pasted format explicitly, then map at least an email or phone column. Your source stays unchanged.

CSV contents are processed in this browser memory only and are not sent to servers or included in AI calls, analytics or persistent storage. Website visitor analytics is a separate optional choice. Clear results or close the page to end the trial. Do not attach contact files to enquiries.

If text is unreadable, change the encoding and read again. XLSX and VCF are not supported. Over-limit files are rejected in full; partial checks are not presented as complete results.

Need repeat candidate reviews and CSV reports?

The existing Contact CSV review download preserves all source rows and columns and reports shared email, phone or ID candidates. It handles up to 2,000 rows, 80 columns and 2 MiB per CSV. One mapped email and phone column; optional name and existing ID.
